Create Reports in Salesforce


Go to the ‘Reports’ tab – on top right hand side you’ll find ‘New Report’, here you’ll have many categories to choose from, select the right category based on what you’re wanting on your report. You can also search for report types under categories.




Report types


  • Contacts & Accounts – For report on contacts related to accounts
  • Invoice line items with opportunity – For report on invoiced orders by account, territory, date
  • Opportunities with Products – For report on order line items 
  • Opportunities with or without invoice line items – For report on order line items including invoiced orders, processing order, partially shipped orders etc.
  • Accounts with phases with/without products – For report on spec products on a Phase grouped by account.

If you’re unsure about what category to select, please reach out Staff, IT Help Desk. After selecting the category, click Start Report. 




Grouping


Data in your report can be grouped up to 3 sections. Under add group enter the field name (ex: Division, Account, Territory etc).




Save the Report


On your top right hand side, you’ll find Save & Run, Save, Close and Run options. Click Save & Run and Salesforce asks you add a name, description and location. Save your report in your designated folder. If you don’t have a designated folder, please select appropriate folder.



Add Chart


Charts can be created on grouped data only. Click on ‘Add Chart’ and a default horizontal bar chart will be created. Available chart types in Salesforce are Bar graphs, Column graphs, Stacked graphs, line graphs, Donut graphs, Funnell graphs and Scatter plots. 

 

Click on gear icon under Run button, where Chart type, title, y-axis, x-axis, chart colors can be updated. Salesforce limits users to select from multiple chart color palettes.



Exporting


Reports in Salesforce only load up to 2000 rows, if you need to view all data from the report, click ‘Export’ in dropdown next to Edit button. This will export all data to a spreadsheet and downloads a copy to your device.




Subcribing


To receive daily alerts of your report, click subscribe button in dropdown next to Edit button on report. Edit your preferences on how often you’d like to receive the report, days, time and add additional recipients to this report subscription. If you’d like to receive report data as an attachment, click attach file under Attachments and click Save to include report data as an attachment in your subscription email.
