  • Open Outlook:

    • Launch the Outlook application on your computer.
  • Open Automatic Replies (Out of Office):

    • Click on the File tab.
    • Select Automatic Replies (Out of Office).
  • Set Up Automatic Replies:

    • In the Automatic Replies window, select Send automatic replies.
    • Optionally, check the box to Send replies only during this time period and specify the start and end times.
    • Type your out-of-office message in the text boxes provided for "Inside My Organization" and "Outside My Organization."
  • Create Rules for Automatic Replies:

    • Click on the Rules... button at the bottom left of the Automatic Replies window.
  • Add New Rule:

    • In the Automatic Reply Rules dialog box, click Add Rule.
  • Set Conditions:

    • Specify the conditions for the rule under "When a message arrives that meets the following conditions."
    • For example, you can set conditions based on who the email is from, subject keywords, or sent to (such as a specific distribution list).
  • Choose Actions:

    • After setting conditions, specify the actions under "Perform these actions."
    • Actions can include moving the message to a specific folder, forwarding the email to another person, or even deleting the message.
  • Set Exceptions (Optional):

    • You can set exceptions to the rule by clicking Advanced and choosing exceptions (e.g., "Except if the subject contains...").
  • Save the Rule:

    • Click OK to save the rule.
    • You can create multiple rules by repeating the process.
  • Finalize:

    • After setting up your rules, click OK to close the Automatic Reply Rules dialog box.
    • Click OK in the Automatic Replies window to activate your out-of-office replies and rules.
