Metro’s Email Archiving Policy is a process where part of your emails such as attachments and contents are stripped away to leave as little footprint as possible and therefore keeping your mailbox size to a more manageable look.


For most CAN users, this task is done automatically on daily basis and the policies of which the archiving rules are applied may differ depending on the departments and individuals. For example, if you are a Custom Service Representative, emails received and sent after two years will have this policy applied and truncated. On the other hand, for those in Warehouse and/or IT, emails older than a year have this policy applied instead.


An archived email in Outlook has a special icon that looks like the following:


 

Opening such an email displays a message indicating that the email is archived and that it is only partially available.


 


Retrieving archived emails:


 

 

  • Click on the “Search” button on the left panel.
  • Populate the fields to narrow down the search. Using Subject and Date is recommended.


 

  • Click on the searched result then “View Whole Item” to download the original archived email.

 

 

  • By default, the downloaded MSG file will be saved to your Downloads folder. 

           Simply double-click on the email to open it.
