Generally, meetings in Resource Rooms are scheduled by creating appointments in Outlook, adding attendees, setting the time and message, and specifying the room location. 


To create a Zoom meeting, follow the same steps as usual, but also click “Add a Zoom Meeting” to enable Zoom. This automatically populates the Location field with the Zoom meeting URL, since it’s considered an online meeting—unless the meeting also occurs in a resource room. 


To host an in-person meeting with Zoom enabled in the Boardroom—and have it automatically start and be controllable from the Boardroom Zoom Controller—follow these steps: 

  1. Create a regular meeting.
  2. Add “Resource, Boardroom Delta” to the Location field and add any attendees. Please check existing resource calendars to avoid conflicts.
  3. Click the “Add a Zoom Meeting” button to generate the Zoom meeting and populate the meeting details in the email body. 
  4. Click the “Settings” button next to “Add a Zoom Meeting” → scroll to the bottom → select “Advanced Options.” 
  5. Add vanboardroom@metrofloors.com under Alternative Hosts.
  6. Click “Update.”
  7. Send or update the meeting


Completing these steps ensures the meeting will automatically start at the scheduled time, allowing attendees—local or remote—to join without the organizer being present. The Boardroom Zoom Controller can also be used during the meeting to manage views, invite participants, and access other controls and functions for a smoother experience.
